I hope you have just about recovered from what was a spectacular weekend of sport, my heart rate has only just returned to normal!

Following the Governments’ announcement on Monday 12th July I thought it best to update you on the changes Ipswich Sports Club will make from Monday 19th July. Whilst the easing of restrictions sounds a welcome relief we feel that a cautious approach at this time is sensible and as such some of the control measures will remain in place as we continue to navigate our way through this pandemic. We’ll be continuing to promote good hygiene and ask that all members continue to use the sanitising stations across the site.

The following changes will be implemented from Monday 19th July:

Face masks

  • Face masks will no longer be compulsory for members or staff and will be discretionary to the individual. We ask that you kindly respect the individuals choice on this measure.
Heat Rooms
  • The heat rooms (steam & sauna) within each changing rooms will reopen from Monday 19th July via an ‘On Demand’ service. If you wish to use either heat room please request this at reception with 30 minutes warm up time.
Fitness & Studio
  • Gym booking slots will remain in place until further notice.
  • Screens between machines will be removed.
  • Sweat Towels will be permitted in the gym & studio.
  • The studio capacity for classes will increase from 10 to 12 people per class.
  • Sharing of equipment will be permitted within classes.
  • The existing timetable including class duration will remain the same until September.
  • Please continue to sanitise all your equipment before and after use.
Bar & Reception
 
  • 2 screens will be removed from bar, 2 will remain in place at the tills.
  • The screen at reception will remain in place until further notice.
  • Members will no longer be required to sign in at reception however the Test & Trace QR code will remain in place until further notice.
  • Doors will remain open through the summer months to promote fresh air flow.
 

We are currently working on plans for September to further lift capacity in certain areas of the club such a studio. Until then we hope you feel our approach is appropriate to the current situation of the pandemic and as always we welcome your feedback and comments with how you feel these measures affect you personally.

Club Closure following Tier 4 Announcement

Dear Club Members

Following the government announcement this afternoon which places Suffolk in Tier 4, the Club will be closed with effect from 7.00pm tomorrow evening, Christmas Eve (the Club is already closed on Christmas Day).

This means that all Clubhouse and indoor facilities, including the Tennis Air Dome, will be closed – however the outdoor Tennis courts will remain open for play, for members only, in line with the LTA government guidelines for outdoor play and free of charge until the end of December 2020.

Should the Club remain closed in January 2021, members on Monthly memberships will not be charged; members on Annual memberships will be compensated for the period of closure on their next membership renewal date.  We will take care of this administration our end so you do not need to cancel your direct debits or do anything more at this stage.  If you have paid for an activity (eg. Tennis course) in full or part and we have been unable to run the activity, we will carry these payments over to future activities so please do keep your receipt.

Tennis Outdoor play in January 2021 – if we remain closed but outdoor play continues to be permitted, we will operate a PAYG system, for members only, as before and members are asked to pay £5.00 per booking slot (maxium charge £40.00 per month per member) using the Club’s Bank details below.  All courts must be booked via the Online Booking System as normal in advance of play – if you have any issues with bookings, please email tennis@ipswichsports.co.uk.

With the Club closed, there will be no staff on duty to answer member enquiries, however we envisage a skeleton team will be returning to their duties shortly before we re-open.  Please visit our website for new updates https://ipswichsportsclub.co.uk/news.

Club re-Opens 2.12.2020 – Important information for Members

 

Dear Club Members

Further to last Friday’s update we can confirm that the Club will be re-opening on Wednesday, 2 December 2020; set out below you will find the revised arrangements in accordance with government restrictions and the guidelines of relevant national sports governing bodies which the Club considers it is obliged to follow as appropriate:

 

Check-In

The previous check-in process with members reporting to reception on arrival for a temperature check and to sign in via the NHS COVID-19 app remains in place.  The Club will also record each individual member or at least 1 member within each party via its own COVID-19 data collection.

 

Tennis

Outdoor tennis is limited to the ‘Rule of 6’ as before.  For indoor tennis adults are limited to play with people in the same household/support bubble or one-to-one singles or coaching (with an exemption for tennis activity for disabled people and for under 18s).  Coaching will be in accordance with the latest LTA guidelines.  The Air Dome has now been reflated.  All coaching will also be in accordance of the LTA guidelines for coaches.

Squash and Racketball

Full court play is only permitted between members of a single household or a legally permitted support bubble.  Adults can do solo sessions.  Junior group coaching and one-to-one coaching for adults and juniors can continue.  Adults in a squash bubble can play sides.

Gym and Studio

The gym and studio can re-open and continue as before lockdown – so basically no change.  Please note the gym will continue on a booking basis only.  Members should book via the online booking system or contact reception.

 

Hockey

Will restart and training sessions will recommence from Wednesday, 2 December 2020 with first matches scheduled for Saturday, 12 December 2020.  Further details will come from the Hockey Committee.

 

Café Bar and Food (The Courtside Bistro)

Having further reviewed the Tier 2 guidelines we now plan to open these areas on the following basis:

  • Café Bar

The Bar will operate as a take away café for hot drinks, cold beverages, sandwiches and snacks from Wednesday 2 December until further notice.  Please note members will be unable to use the indoor bar area for seating and must not socialise in a group of more than 6 people outside (Rule of 6).

  • Food – The Courtside Bistro

(NB: at all times Tier 2 restrictions will be followed, members must not socialise with anyone you do not live with in your support bubble)

Darius and Gill from The Courtside Bistro will be offering the following booking only events, menu details below:

Friday 4, 11 and 18 December 2020 – Food Specials served from 6.00pm. Bar closes at 9.00pm and alcohol can only be purchased and consumed whilst eating.

Sunday 13 & 20 December 2020 – Christmas Carvery

Other Facilities

The shower and changing room facilities will be open as before however the sauna and steam rooms remain closed at this time.

 

The guidelines included in this summary will be reviewed on an on-going basis and in light of any further changes from the government with the current restrictions.

We thank all those members who have continued to support the Club in so many ways through these recent and difficult months and hope it won’t be too long before the pandemic is on the decline and restrictions can be reduced and eventually lifted altogether.

*NEW* updated COVID-19 guidelines from Thursday, 24 September 2020

Following the Government announcement this week please find below some changes now required by the Club to meet the new guidelines – we ask all members to adhere to and assist with the new procedures:

ON ARRIVAL AT RECEPTION

– The Club’s unique NHS Track and Trace QR code is now displayed in the reception area for customers to self check-in. This can be completed by downloading the NHS App on your phone/device and scanning the code via a QR reader on your phone/device then completing the form. The App is due to go live tomorrow, 24 September 2020, however if for any reason the App does not work, please continue to check in at reception in the usual way.

BAR & FOOD

– Members entering the Club for the bar or catering are asked to wear face coverings on entering the building, face coverings can be removed when seated at a table when eating or drinking.
– The Club will be introducing table service from Thursday, 24 September for all orders. Customers are asked to make the bar staff aware when they arrive and where they will be sitting. Members will need to place their orders by filling in one of the order forms provided at each table and alerting the bar staff when ready to make their purchase.
– Members can continue to socialise in a group of up to 6 people maximum from different households; social distancing should still be maintained when meeting with others.

SPORTS & FITNESS

– Members entering the Club for sports and fitness are advised to wear face coverings before and after their activity or in areas where social distancing cannot be maintained.
Members are not required to wear face coverings whilst exercising.

All other current COVID-19 guidelines will remain in place but as a reminder please do not come to the Club if you feel unwell.

It has been great seeing a lot of members back using the facilities over the last few weeks. Restarting some of the tennis and squash programmes and food events by The Courtside Bistro has brought back some normality to our everyday lives.

Club Member Update…Re-Opening Plans

Further to our recent announcement we are continuing to work on meeting the guidance and to re-open the Club as soon as possible.  If all goes well we will re-open the premises and facilities on Monday, 27 July 2020 at 9.00am.  We hope to confirm this date on Wednesday, 22 July 2020.  Upon the re-opening normal membership arrangements will be restored and  ‘Pay & Play’ will end.

We must inform members however, that in order to satisfy the applicable COVID-19 safe guidelines members will see some changes to how we worked before including the introduction of a gym booking system (due to COVID-19 Track & Trace), reduced fitness class sizes and marked workout areas, restricted play for Squash and changes to how the bar and food can operate.

We are considering all guidelines regarding staff PPE equipment and consulting with them as to the best approach for members and staff.

Throughout the closure of the Club facilities, we have been very conscious of the need to keep Club costs under control whilst raising any funds we can to help the Club’s financial survival.  We will have to continue in this way when re-opening to ensure we can afford to operate the Club – this includes slowing increasing utility costs, returning only the staff needed to run the new operations, limiting range of products offered over the bar, increased spending on hygiene products, supplies and cleaning staff, purchase of new equipment to meet the guidelines and expenditure to return the Club to an opening condition after months of lockdown.  We do intend to carry out a full clean including a certified chemical mist spray to ensure the building is virus free along with new chemicals used by our cleaners and staff; members must also fully understand their responsibilities within the guidelines to keep equipment clean.

We will also have to make modifications to areas such as the Gym and Studio and it is expected that whilst toilet facilities will be available, showers, sauna and steam rooms will remain closed at the start of re-opening.  There will also be a need for a one-way system to keep to social distancing guidelines.

We do ask members to follow all signage and guidance and please refrain from challenging staff on any part of the new guidelines.  Members are requested to make any comments via the usual channel via email to manager@ipswichsports.co.uk and suggestions/comments will be considered by the Club’s management.

From the day when the Club closed its facilities until it re-opens no membership income has been forthcoming but we are extremely grateful to those members who have made donations; the income generated by ‘Pay & Play’ has also made a valuable contribution to running costs.  This has all helped to reduce the damaging impact on Club finances but we do need from a financial point of view to start collecting subscriptions again.

For monthly members their memberships will continue with effect from the re-opening day and subscriptions will start to be collected again in August 2020.

For annual members their memberships will also continue with effect from the re-opening day, they will retain their original enrolment date and when their annual renewal is due a discount to the value of the close down period will be afforded for the next annual payment.  If it is their intention not to renew for a further 12 month period they will be given an extension beyond the renewal date equivalent to the close down period to honour the original 12 month commitment.  Alternatively annual paying members may wish to donate the COVID-19 period of closure.

Finally we are delighted to say to members “Welcome back – you have been missed’ and we ask all members to play their part in the re-opening to ensure the Club can stay open and vibrant again.  Once more we would like to thank all those members who have helped out during the close down period whether by undertaking voluntary activities, making donations or otherwise.  This is much appreciated by all of us concerned with maintaining the Club in these most challenging of times.

Club Update June 24 2020
 
Following the latest government announcement regarding the lifting of restrictions we will unfortunately not be able to open at this time.  However it is expected that further lifting of restrictions for indoor gyms and studios will be announced later in July and we will be monitoring the announcements and subsequent guidance with interest; in the meantime we will continue with our pre-opening preparations.
 
Members and staff safety is paramount and any decision that we take will be based around a safe reopening of the Club along with ensuring we can adhere to the guidelines.
 
We are pleased to announce that both RD Physiotherapy and TJ Sports Gear have both reopened this month and Aura Hair Company will be reopening from 4 July 2020.
 
In the meantime members can take advantage of our Outdoor Tennis and Hockey facilities via the PAYG scheme currently in place and also book in for a Tennis lesson with one of our Club coaches.

Message from the Chairman

Dear Club Members
 
Now that we are over a month into lockdown I thought I would take this opportunity to update you on how we are managing the Club through this difficult time.
 
We have carried out a full financial review of the Club’s accounts with a view to minimising the short term and long term impact of the forced closure due to the Coronavirus.  To this end I am pleased to report we are in discussions with our bank regarding a payment holiday for our loans.  We are also grateful to the Lawn Tennis Association and Suffolk Lawn Tennis Association for their support with their various loans and payments owed to them.  We have also taken steps to reduce our energy consumption and are carrying out regular meter readings to monitor this area.  Andy Yorke has worked hard to reduce our monthly expenditure as far as possible but we still incur costs each and every month which cannot be avoided.  We have applied for a £10K emergency fund grant from Sport England and if successful, this will help ease the pressure on the Club during this crisis.
 
We have some excellent volunteers helping us with Club security checks and maintaining the grounds and premises at Henley Road and Tuddenham Road.  In addition a few of our Club Studio Instructors (Vienna, Ivan, Didi and Caroline) have been running free online classes available to all members.  Details of these classes for next week can be found at the end of this message and please note all future dates are being advertised via our social media pages (Website News Page, Facebook, Twitter and Instagram).
 
Work behind the scenes continues with our organisational status, it is hoped we can bring this to a conclusion over the coming months.  Our Executive meets regularly via video conferencing and we are meeting online with our Club Council colleagues on 12 May 2020.
 
I must take this opportunity to say a huge thank you to those members who have made donations to the Club.  We really appreciated your support along with our Club sponsors that have stuck by us as well.  We do however need to ask our members to please continue to make donations where possible to help the Club through these unprecedented times.  Any donation, large or small will help.  We still have significant running costs to meet each month so every donation helps us to avoid running down our cash at bank at present.  As a reminder, to make a donation you can set up a payment via standing order or one-off payment as follows: Sort Code 30-94-55 and Account Number 04745168.  Please ensure that you put DONATION as the reference, followed by your surname and if possible your membership number eg. Coronavirus (COVID-19)

The Ipswich Sports Club Executive met remotely this evening to discuss whether to close all facilities and also the issue of membership fees.
 
It has been decided that due to the ever increasing measures being put in place and the continuing spread of Coronavirus, the Club will close all facilities for the time being until further notice.  We feel that this is the responsible thing to do in the exceptional circumstances facing this country at this time.  Do not come and use the outdoor facilities – they are closed until further notice.
  
  
Monthly Members
 
The Club will not be collecting any Direct Debit payments with effect from 1 April 2020 and whilst the Club facilities remain closed, so no money will be drawn from members’ Bank Accounts until further notice.  This will therefore apply to all Monthly members who have not cancelled their Direct Debits.
 
It will also apply to those who have contacted the Club since it closed on Friday, 20 March 2020 and have not yet had a response regarding suspension due to the influx of enquiries following the sudden closure, so please do not worry.  We appreciate your patience and support during this difficult time.
 
Unfortunately, if members have already cancelled their Direct Debit Instructions, this will be processed as a membership cancellation rather than a suspension, and we hope to welcome you back in the future.
 
Annual Members
 
For members who have paid upfront on an annual basis for their membership, the Club will simply add time onto members’ current membership term to cover the period of closure of the facilities.  This will be processed at the time of your next current renewal date of membership.
 
 
This does mean that the Club will have little or no revenue coming in for the foreseeable future.  Fortunately we have some cash reserves so we will be able to meet our essential outgoings in the short term but this situation could continue for far longer and cause the Club significant difficulties over time.
 
Ipswich Sports Club, like some other clubs in a similar position, are asking members to consider diverting their membership payments or making donations into a fund.  We have received many messages already from members wanting to continue their support, irrespective of whether the facilities close.
 
The facilities have only been closed for a matter of days and already people are realising just how big a part of their life the Club is.  It is for that reason that any support you can give will be invaluable to our recovery and getting back to normal.
 
Payments should be set up as a standing order or one-off payment as follows:  Sort Code 30-94-55 and Account Number 04745168.  Please ensure that you put DONATION as the reference, followed by your surname and if possible your membership number eg. DONATION/SMITH 1234.
 
The Club has worked tirelessly to get to its current position so to have this happen is truly heart breaking but we will get through this.  It is also important to remember that the priority must be to slow the spread of the virus and in doing so to save lives.
 
We are working with our staff to make appropriate arrangements for them at what is an incredibly difficult time.
